Upgrade FAQ

Q: How do I upgrade?

A: Follow these steps to upgrade:

  1. Optionally, sign up for a free trial of the new system. In this process you will pick an organization unique id that you would like to use in the link to your organization in the new system.
  2. When you are ready, send us an e-mail (support [at] ivolunteer [dot] com) including your legacy system link (ending in .asp). If you signed up for the free trial in step 1, also include the organization unique id that you picked for the free trial. If you did not sign up for the free trail in step 1, we will assign the organization unique id from the legacy link or you can request a new id. Within 1 to 3 days we will migrate your legacy events (see related FAQ below), extend your new subscription at no charge for 3 months past the original end date of your legacy subscription, and e-mail you when that is done.

Q: What is new or different about the upgrade?

A: The new version offers exciting new and improved capabilities today, provides a foundation on which we will offer many powerful features in the future, and maintains the simplicity and reliability of the original system. Improvements include: An overall improvement to the look. Each volunteer slot can now contain a specified number of volunteers instead of just one. Events can be designed with more flexibility, such as splitting an event into large sections (called Tasks). Reminders and/or Thank You e-mails can be scheduled to go out automatically. Volunteers who participant more than once now only have to confirm once. Even more ability to customize your own messages and e-mail messages. Q: Do I need to upgrade right now?

A: No. The legacy system will be available until all customers have upgraded. No rush.

Q: What do you mean when you say "legacy system"?

A: If you signed up for a demo or became a customer before October 26th 2010 and have not upgraded, you are using the "legacy system".

Q: Can I try the new version before I decide to switch? Will it affect my current system?

A: Signup for a free trial of the new system. The data in the legacy system is independent of the new system, so it will not affect your legacy system to do this.

Q: How much will it cost to upgrade?

A: Upgrading to the new version is FREE. Additionally, we will extend any current license an additional 3 months just for upgrading.

Q: Is there a cut-off date to upgrade?

A: No. We would like to have all of our customers moved over by December 31, 2011; however, we will continue to support the legacy system until all of the currrent subscriptions on the legacy system have expired. We encourage existing customers to upgrade at your convenience but at least at renewal time. Any new customer will only be for the new system.

Q: Will you be able to migrate my events to the new system?

A: We are able to mirgate your events to the new system, however we do not migrate your participants. For this reason we recommend that you upgrade at a time when you are in-between running any events, although that is not a requirement. In many cases legacy events migrate well into the new system and no further effort is necessary. In some cases you will want to make post-migration modifications to a sign-up sheet. For example, in the new system you will wan to remove slots that were marked unused or "n/a" in the legacy system. For some more complex sign-up sheets, there may be a better way to structure a sign-up sheet in the new system; in those cases it might work better to re-create those sign-up sheets from scratch in the new system.

 Q: What will happen to my old link after I upgrade?

A: Your old link will remain available to you for reference for at least three months after you upgrade. Alternatively, at your request, once you are satisfied that you no longer need access to the legacy system, we can make your old link automatically forward to the new one.
