Managing and Adding Prompts

In this video, we'll show you how to change the visibility of existing prompts within iVolunteerOnline. And, since your organization may need more than the volunteer’s name and email address, we’ll also demonstrate how to add custom prompts.

To get started, we’ll return to our organization’s Annual Charity Basketball Game by clicking Events and then making our selection from the “Events” list.

As part of our event, we want to provide each player with a free jersey, but need to know their shirt size in order to do so. We also need to ensure players are at least 18 years of age to participate. We can do this by adding custom prompts.

To do this, we’ll click the “Settings” tab and then click “Prompts,” located below.

To prompt players for their shirt size, we’ll click the “Add Prompt” button. We’ll change the “Label” and then ask players what size they wear within the “Short Description” field. Because we need this information for each player, we’ll check the “Required” box.

We only have five jersey sizes to choose from, so we’ll click on the “Type” field and select “Dropdown.” Then, in the “Dropdown List Values” field, we’ll type the available sizes, being sure to separate each by a comma. To add the prompt, we’ll click “OK.”

To prompt players to confirm they are 18 or older, we’ll again click the “Add Prompt” button and then edit the “Label” and “Short Description” fields as before. This prompt is also required, so we’ll check the “Required” box. Lastly, in the “Type” field, we’ll choose “CHECKBOX” and then click “OK.”

After the two prompts have been added, we’ll change their order by using the “Move Up” button and clicking “Save.”

From here, we’ll click the “Preview” tab. This is our current signup sheet. As you can see, the “Administrator” can view a volunteer’s email and name. However, when viewing as a “Confirmed Volunteer,” this is no longer possible.

For our event, we want “Confirmed Volunteers” to be able to see the names of the other players. To do this, we’ll click the “Settings” tab.

In the Prompt Visibility section, you’ll notice several dropdown menus. These control who can see a volunteer’s email and first and last names once their slot has been confirmed.

In the “First Name Prompt” field, we’ll select the “Visible – Confirmed Volunteers” option. After carefully reading the Privacy Warning, we’ll click “OK.” We’ll do the same for the “Last Name” and then click “Save.”

We can preview our changes by clicking the “Preview” tab. As you can see, the “Confirmed Volunteer” can now view a volunteer’s name by clicking the “Plus Sign.”

To see our custom prompts, we’ll click “Volunteer” and then hover over the “checkbox” and “dropdown list.” We’ll also click on the “Shirt Size” field to review our list of sizes.
